HQ Evolve Group is an online fitness coaching business operated from Australia. We provide training programs, nutrition guidance, and coaching support, including the Evolve AI app membership and 1-on-1 coaching tiers.

2. Information we collect
We collect information you give us directly, including:
- Name, email address, and phone number when you purchase or enquire
- Payment confirmation from our payment processor (we do not store full card details)
- Health, training, and lifestyle information you provide in intake forms and weekly check-ins
- Communications you send to your coach
3. How we use your information
- To deliver your coaching program
- To set up your training program and nutrition targets in the app
- To review weekly check-ins and provide coach feedback
- To send program updates, check-in reminders, and service-related emails
- To process payments and manage your account
- To comply with legal obligations
4. Who we share information with
We do not sell your personal information. We share data only with service providers needed to run the business, including payment processing (Stripe), CRM and email providers, secure cloud hosting and databases, and AI processing (Anthropic) used to generate your programs, reviews and coach responses. These providers only receive what they need to perform their function, and our AI provider does not use your data to train its models under our commercial terms.
Some of these providers store or process data outside Australia (primarily the United States). Where that happens, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.
5. Health information
We collect health and fitness information you choose to provide (such as weight, injuries and health conditions) to deliver safe, appropriate programming, including automatically limiting exercise selection and intensity around conditions you disclose. It is used only for that purpose, is processed by the AI systems described above to personalise your plan, and is not shared with third parties except those processors, where required by law, or in a genuine medical emergency.
6. Data retention
We keep your information for as long as needed to provide services and meet legal obligations. You can request deletion by emailing hello@hqevolve.com. We will action requests within 30 days where possible.
7. Your rights
You can request access to, correction of, or deletion of your personal information. You can unsubscribe from marketing emails at any time using the link in those emails. Contact hello@hqevolve.com to exercise these rights.
8. Cookies and analytics
Our pages may use cookies or similar technologies for basic functionality and to understand how visitors use the site. You can disable cookies in your browser settings.
9. Changes
We may update this policy from time to time. The updated version will be posted on this page with a new date. Continued use of our services after changes constitutes acceptance.
